Privacy Policy

BoardKeep (“we”, “us”) helps you find board game clubs, organise game nights, and track your plays. This policy explains what personal data we collect through the BoardKeep web app and mobile app, why we collect it, and the choices you have. We are the data controller for this data.
Information we collect
- Account details — your name, email address, and password (stored only as a secure hash). If you sign in with Google, we receive your name, email, and profile picture from Google.
- Date of birth — used only to confirm you meet the minimum age and to apply appropriate safeguards for younger members. We do not display it publicly.
- Profile & activity — clubs you join, events you attend, game plays you log, scores, your game collection, comments, reactions, and messages you send.
- Location — when you use the “near me” discovery features, your device location is used to find nearby clubs and events. Location is used while you are using the app (not in the background) and is not stored as a location history.
- Camera — used only when you choose to scan an event check-in QR code. Images are not stored or transmitted.
- Calendar — used only when you tap “Add to calendar”, to write a single event to your device calendar.
- BoardGameGeek (optional) — if you link your BGG account, we sync your collection and plays. Where you grant a full connection, the session is encrypted at rest; your BGG password is never stored.
- Technical data — basic logs (IP address, device/browser type, timestamps) needed to operate and secure the service.
How we use your data
- To provide and operate the app — authentication, clubs, events, plays, messaging, and notifications.
- To show clubs and events near you when you ask for them.
- To keep the service secure and prevent abuse.
- To communicate with you about your account (e.g. email verification and password resets).
We do not sell your personal data or use it for third-party advertising.
What other members can see
Within a club, members can see your display name, profile, and the activity you share (plays, attendance, comments). A public profile page is opt-in and off by default; your email address and date of birth are never shown publicly.
Sharing & third parties
We share data only with service providers that help us run BoardKeep:
- Google — if you choose to sign in with Google (authentication only).
- BoardGameGeek — if you choose to link your BGG account (collection/play sync).
- Hosting & infrastructure — our servers and content delivery (including Cloudflare) that store and transmit data on our behalf.
Data retention
We keep your data for as long as your account is active. You can delete your account at any time, which removes your personal data from the live service (some information may persist briefly in backups before being overwritten).
Your rights
You can access, correct, export, or delete your personal data from within the app (Settings), or by contacting us. Depending on where you live, you may also have rights under the UK GDPR / GDPR, including the right to object to or restrict processing and to lodge a complaint with your data protection authority.
Children
BoardKeep is not directed at children under 13. Younger members may use the app only with appropriate consent and supervision in line with club arrangements and applicable law.
Changes
We may update this policy from time to time. We will update the “last updated” date above when we do.
